Privacy Policy

We collect only the information reasonably necessary for the purpose it is given to us. For clients, that is typically your name, contact details, the service you are requesting, any reference photos you choose to share, and notes about your appointment. For general inquiries, it is your name, contact details and your message.

When you apply through our Join Our Team form, we collect your name, email, phone number (optional), the position you are interested in, your Instagram or portfolio link, any additional portfolio or website links, and the details you provide about your experience, services, competency and language skills, along with your message.

Why we collect it. To review your application, assess your suitability for current or future employment opportunities at the studio, and contact you about those opportunities.

How it is used. Only for hiring purposes. We do not use applicant information for marketing or advertising, and we do not add applicants to unrelated mailing lists or share it with third parties for their own purposes.

Who can access it. Only authorized studio administrators. Applicant records are stored in our access-controlled database, are not publicly accessible, and are not visible to other applicants or to staff without administrative access.

How it is protected. Applications are stored in a secured database with row-level access controls, transmitted over encrypted connections, and restricted to authenticated administrator accounts. Portfolio links are stored as links only; we do not download or copy your work unnecessarily.

What we do not collect. We do not ask for your Social Insurance Number, date of birth, government identification, banking details or other sensitive information at the application stage. Please do not include such information in your message.

Retention and disposal. If you consent to being kept in our talent pool, or if your application is considered for a hiring decision, we retain the record for as long as reasonably necessary for that purpose and for the period required by applicable law — at minimum one year after the information is used to make a decision that directly affects you, as required by PIPA. Records that are no longer needed are securely deleted.

Your rights. You may request access to the personal information we hold about you, ask us to correct it, or ask us to withdraw your application and remove your record (subject to the retention period above). Client information is used to schedule and deliver services, keep a record of past appointments and preferences, and communicate with you about your bookings. We do not sell personal information.

Information is stored in a secured, access-controlled database hosted by our service providers. Access is limited to studio staff who need it for their work, and financial and applicant records are limited to the studio owner.
